1. Scope

This policy applies to the macOS app “icRec” provided by the operator K386 and to the website under https://k386.sub.jp/icRec/. By downloading or using the app, you agree to this policy and disclaimer.

2. Website

What we don't use

• Analytics, ads, or externally loaded fonts and scripts
• Contact forms or anything else that asks for personal information
• Cookies or localStorage in visitors' browsers

View and download counts

We count page views across K386 Apps and downloads. The server stores only daily totals, not IP addresses or browser types themselves. To avoid counting the same visitor twice, a value that is valid only for that day and cannot be reversed is compared, and it is deleted after two days. Obvious bots and the operator's own devices (recognized by a cookie placed only on those devices) are not counted.

Server access logs

Like most web servers, the hosting server may log IP addresses, times, pages visited and browser types. The operator uses them only to handle failures and abuse.

3. The app

icRec does not send usage data (telemetry), show ads, or run analytics. It connects to the internet only to check for updates (below) and for integrations you turn on.

What is stored on your Mac

Microphone (voice memos)

Only when “Record voice memos with the Mac's microphone” is on (off by default), icRec records from the chosen microphone between your pressing Record and Stop. macOS asks for microphone permission the first time, and you can revoke it at any time in System Settings → Privacy & Security → Microphone. Memos are saved to your storage folder and icRec never sends them anywhere by itself; transcription or saving to Google Drive happens only through integrations you turn on, as with any recording.

System audio recording (recording meetings in voice memos)

Only when you turn on “会議などを録音する” (Record meetings and the like) for voice memos and choose an app (off by default), icRec receives the sound that app (a meeting app such as Zoom) plays between your pressing Record and Stop, and records it together with the microphone. No other app's sound is received. macOS asks for “System Audio Recording” permission the first time, and you can revoke it at any time in System Settings → Privacy & Security → Screen & System Audio Recording. The screen is never recorded. The two sources are leveled and mixed into one recording on your Mac, saved to your storage folder, and never sent anywhere by icRec. Tell the other participants before you record a meeting.

Importing iPhone voice memos (Full Disk Access)

Only when “Import iPhone voice memos automatically” is on (off by default), icRec reads, every 30 seconds while it is running, the Voice Memos recording list synced to this Mac by iCloud (~/Library/Group Containers/group.com.apple.VoiceMemos.shared/Recordings) and its audio, and copies new recordings into your storage folder. macOS protects this location, so you need to allow icRec under System Settings → Privacy & Security → Full Disk Access. With this permission icRec reads only the Voice Memos recording list and audio; it never changes or deletes Voice Memos files and never sends what it reads anywhere. You can revoke the permission in the same pane at any time.

Update checks

When “Check for updates automatically” is on (the default), icRec fetches this site's update information (https://k386.sub.jp/icRec/api/version.json) at launch and once a day. Only the request itself is sent — no recordings, text, settings or identifiers. As with any connection, the server may log your IP address (section 2). You can turn this off under Settings → Updates.

When you install an update, icRec downloads the new DMG from this site, checks Apple notarization and the publisher's signature, then replaces itself and restarts. These downloads are not counted.

Files on the IC recorder

The app does not modify files on the IC recorder. Only if you turn on “Remove imported audio from the recorder” for an import source (off by default) does it delete, at the next import, audio that was already imported and verified in your storage folder. Deleting the app leaves your storage folder and the files above in place. Delete them yourself if you no longer need them.

4. Optional integrations

All of the following are off by default. Turning one on does not by itself send any data.

Whisper Local (transcription)

icRec tells Whisper Local, running on the same Mac, where a recording file in your storage folder is, asks it to transcribe, and receives the text. This happens entirely on this Mac; icRec sends nothing outside. When you press “Whisper Local と連携する” (Connect to Whisper Local), icRec passes Whisper Local a one-time confirmation code and the location of your storage folder; after “連携する” (Connect) is chosen in Whisper Local, icRec receives the client ID, token and folder ID over a connection inside this Mac (the token is never put in a URL). The integration token is kept in the Mac's keychain. Whisper Local handles data according to its own privacy policy.

Apple Intelligence (summaries, tidy-up, task extraction)

If you choose “Apple Intelligence” under “AI 機能” (AI) in Settings, the text is processed by Apple's model on your Mac. No text is sent outside the Mac.

Codex App Server (summaries, tidy-up, task extraction, daily reports, Ask icRec)

The following is sent only if you choose “Codex（ChatGPT）” under AI in Settings.

When you press Summarize, Tidy up or Find tasks (for a recording's text or a note, including batch processing), the text is sent to OpenAI through Codex on your Mac. Tidy up also sends your replacement list (including words that do not appear in that text). If you turn on “Tidy up after transcription”, each transcript is sent the same way whenever its transcription finishes.

For “Ask icRec” on Home, icRec first sends only the question to get search terms, searches on your Mac, then sends the question with the type, title, date and an excerpt (up to 600 characters each) of up to 20 candidates. The same applies when you choose slides, a mind map or an infographic instead of an answer. The whole library is never sent.

When you press “Summarize this day's recordings” in the calendar's day view, the transcripts of that day's recordings (with a confirmed date and a transcript) are sent with their times, titles and tag names. For recordings still named as imported, a fitting title comes back in the same response and is used as the recording's name (nothing extra is sent).

Audio files are never sent. icRec does not copy Codex credentials, and uses your Codex usage. OpenAI handles what is sent according to its terms and policies.

AI through an API key or LM Studio (OpenAI, Anthropic, Google, local LLM)

The following is sent only if you choose “API キー” (API key) under AI in Settings and set a company and an API key. What is sent is the same as for Codex App Server above (the text you press Summarize, Tidy up or Find tasks for, with your replacement list; each transcript when tidying up automatically; your Ask icRec question with excerpts of candidates; the transcripts of the day you press “Summarize this day's recordings” for). It goes to the API of the company you chose (OpenAI: api.openai.com, Anthropic: api.anthropic.com, Google: generativelanguage.googleapis.com). If you choose “LM Studio（ローカル）”, the text is processed by LM Studio's server on your Mac (http://localhost:1234 by default) and nothing leaves the Mac (if you point the server URL at another machine, text is sent there).

The API key is kept in the Mac's keychain, never in the settings file. “保存して確認” (Save and check) and “接続を確認” (Check connection) only fetch whether the key works and the list of usable models; no text is sent. Audio files are never sent. Usage is billed at each company's API rates. What is sent is handled according to that company's terms and policies (on Google's free tier, what you send may be used to improve its services).

AI MindClip (importing SwitchBot AI MindClip recordings)

When you press “Sign in with QR code”, icRec receives a sign-in QR code from SwitchBot's account service (account.api.switchbot.net). After you approve in the AI MindClip app on your phone, icRec receives a sign-in token and your account ID, region and email address. The token is kept in the Mac's keychain; your password is never handled.

Only when “Import MindClip recordings automatically” is on (off by default), icRec asks SwitchBot's servers (wonderlabs.*.api.switchbot.net) for the recording list every 5 minutes while running, using the token, and downloads new recordings from the location SwitchBot specifies (Amazon S3) into your storage folder. icRec sends SwitchBot only the token and the recording IDs needed to list and download; no recordings, text or settings. Recordings in the cloud are never changed or deleted. This is not SwitchBot's published OpenAPI but the method AI MindClip Web uses. “Sign out” deletes the token from your Mac. SwitchBot handles data according to its own privacy policy.

HiNotes (importing HiDock recordings)

When you press “Sign in to HiNotes”, icRec opens the HiNotes (https://hinotes.hidock.com) sign-in page inside icRec. You sign in by entering your details on the HiNotes page; icRec receives only the token after sign-in and keeps it in the Mac's keychain. Only if you choose “Remember email and password on this Mac” on the sign-in page are the email and password you entered kept in this Mac's keychain (set not to sync with iCloud) to fill in the page next time. Delete them with “Delete remembered sign-in” in Settings.

Only when “Import HiNotes recordings automatically” is on (off by default), icRec asks the HiNotes servers for the list of recordings and whispers every 5 minutes while running, using the token, and downloads new audio into your storage folder. icRec sends HiNotes only the token and the recording IDs needed to list and download; no recordings, text or settings. Recordings in HiNotes are never changed or deleted. This is not a method HiDock has published but the one the HiNotes web version uses. HiDock handles data on its side according to its own privacy policy.

Google (Drive, Docs, Calendar, Tasks)

Through the OAuth client of icRec's Google Cloud project (or your own, if chosen in the advanced settings), icRec connects directly to your Google account and saves the audio, text, events (recording name, memo, recording date) and tasks you pick on each screen to that account. The operator never receives them. Google's terms and policies apply. Disconnecting deletes the token saved on this Mac.

5. Third parties

The operator does not collect users' recordings, text or personal information, and therefore does not provide them to third parties. Site totals may be published.

6. About recording

Record, transcribe and send recordings to outside services in line with the consent of the people involved, your organization's rules and the law. Before sending confidential content such as meeting contents through an integration, make sure you are allowed to.

7. Disclaimer

• icRec is free and provided as is. The operator does not guarantee fitness for a particular purpose, operation with every IC recorder model, or continued availability.
• Except in cases of intent or gross negligence, the operator is not liable for damages arising from use of the app or this site, including loss or corruption of recordings, text or data, and costs or usage consumed at outside services.
• Back up important recordings separately from icRec's storage folder.
• Automatic processing such as transcription, summaries and tidy-up can contain mistakes. Check names, numbers and decisions against the original or the audio.
• Automatically confirmed recording dates depend on device clocks and file states. Check dates for important records.
• Importing from AI MindClip and HiNotes uses methods those companies have not published, and may stop working without notice.

8. External links

The operator is not responsible for the content or handling of external sites linked from this site (OpenAI, Anthropic, Google and others). Check each site's policies.

9. Changes

This policy may be changed without notice as needed. Changes apply from the time they are posted on this page.
